Wedding Day Transport Checklist for Sydney Couples
Most wedding planning time goes into the venue, the dress and the guest list. Transport tends to get one line item, booked late, on the assumption that a car is a car. Then the day runs over by twenty minutes at hair and makeup, and suddenly the timeline everyone spent months building is in trouble before the ceremony even starts.
Start with the timeline, not the car
Before you book anything, write out the actual sequence of the day: getting ready, ceremony, photos, reception. Then work out which of those need a car, and in what order. A church ceremony followed by photos at a second location and a reception at a third is a very different booking to a single venue that hosts all three.
Build in buffer time between every stop
Photos almost always run longer than planned. Guests take longer to move between rooms than the venue coordinator estimates. Build a buffer of at least fifteen minutes into every leg of the day, not just the ones you think might run late. It costs you nothing if the day runs on time, and it saves the ceremony if it does not.
Getting the bridal party there together
A wedding party of six or more, plus dresses, suits and bags, rarely fits comfortably in one sedan. Rather than splitting the group across cars that arrive at different times, a maxi cab keeps everyone together and arriving as one group. It also means one booking and one pickup time to manage instead of several.
Moving guests between ceremony and reception
If your ceremony and reception are not at the same address, some guests will need a lift, particularly older relatives or anyone travelling from outside Sydney. Booking transfers for that leg in advance, rather than leaving guests to sort out their own taxis mid celebration, keeps the reception starting on time.
What to tell us when you book
- Every pickup and drop off address for the day, in order.
- Rough timing for each leg, including your buffer.
- How many people and how much luggage or dress space each car needs.
- Any detail that affects loading, like a long dress, a suit bag or florals that need to travel flat.
We quote the whole day upfront, with tolls and GST included, so there is one number to plan around rather than a series of separate fares.
Lock it in early
You can book online or by phone, and wedding dates fill up. Booking your transport as soon as your timeline is set, rather than in the final week, gives you the best chance of having the right vehicles confirmed well ahead of the day. See our special events transport page for what we cover, from the bridal car to guest transfers.
