1. About this policy
This policy explains how Silver Sydney Taxi ("we", "us" or "our") handles personal information when you book a taxi, contact us or use this website. We aim to handle your information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
By using our website or booking a trip with us, you agree to your information being handled as described here. If anything is unclear, please get in touch and we will explain.
2. Information we collect
We only ask for the information we need to arrange your trip or answer your enquiry.
When you book online
Our booking form asks for:
- your first and last name, email address and phone number
- pickup and drop-off addresses, and whether the pickup is at an airport
- the pickup date and time, and whether it is a one way or return trip
- the number of passengers and the type of vehicle you want
- how you plan to pay, such as cash, card, Cabcharge, Apple Pay, Google Pay or a corporate account
- anything you add in Special Instructions, such as a flight number, luggage details or a child's age and weight for a child seat
Please only put in Special Instructions what the driver needs to know. If you have a health or mobility need that affects the trip, you are welcome to tell us, but you don't have to.
If you don't finish a booking
Your mobile number is on the first step of the booking form. When you finish that step, we save your trip details and mobile number, even if you then don't send the booking, so our team can call you once to help with that trip. We delete these saved details after 30 days and don't use them for anything else.
When you contact us
The contact form asks for your name, email address, phone number and your message. If you call or email us, we keep the details you give us so we can deal with your request.
Payment details
The website does not ask for or store card numbers. You pay at the time of travel, or by invoice if you have a corporate account.
3. Location on the booking page
When you open the booking page, your browser may ask whether you want to share your location. This is optional.
If you allow it, your browser sends your location coordinates directly to OpenStreetMap's Nominatim service, which returns the nearest street address. That address is used only to fill in the pickup address field (if it is still empty) and to show your suburb name on the page. You can change or delete the address before sending the form.
The lookup happens between your browser and Nominatim. Your coordinates are not sent to us. We only receive the pickup address that is in the form when you submit it. If you decline the location request, the form works exactly the same. Nominatim is run by the OpenStreetMap Foundation, which has its own privacy policy.
When you type in the pickup or drop-off address field, the letters you type are sent to Google Maps so it can suggest matching addresses. This only happens while you type in those fields, and Google handles it under its own privacy policy.
4. How we use your information
We use your information to:
- arrange, confirm and carry out your booking, including any return trip
- call you once about a trip you started on our booking form but did not send
- contact you about your trip, for example if a flight is delayed or a driver can't find the pickup point
- reply to questions, feedback and complaints
- invoice corporate account holders
- help return lost property
- keep business records, including for tax, accounting and dispute resolution
- meet our legal obligations
We don't use your details to send you marketing unless you have asked us to.
5. How we store and protect it
When you submit a form, the details are emailed to our bookings inbox and a copy is saved as a record on our web server, in a folder that is blocked from public access. Details you give us by phone may be noted in our booking records.
We take reasonable steps to protect personal information from misuse, loss and unauthorised access, such as limiting access to the people who need it. No website or email system is completely secure, so please don't send sensitive information you don't need to share.
We keep information for as long as we need it for the purposes above, or as long as the law requires, and then delete or de-identify it.
6. Who we share it with
We share your information only when it is needed:
- with the driver and staff who handle your trip, such as your name, phone number, pickup and drop-off details and special instructions
- with the businesses that host our website and email, so the system can work
- with Google, in hashed form only, to measure which of our ads lead to bookings (see cookies)
- with police, government agencies or regulators when the law requires or allows it
We never sell or rent your personal information.
Some of the third-party services mentioned in this policy, such as Nominatim and content delivery networks, may operate servers outside Australia.
7. Cookies and third-party services
This website uses a session cookie on the booking and contact pages. It lets the form remember what you typed and show any error messages if something needs fixing after you press send. It is not used to track you across other websites.
We use Google Analytics 4 to understand how visitors use the website, such as which pages are viewed, how people arrive at the site and roughly where they are browsing from. Google Analytics sets cookies in your browser and sends this usage information to Google, which processes it on our behalf. We use these reports to improve the website. We do not use them to identify you personally.
We advertise with Google Ads. The Google tag on this website sets advertising cookies so Google can tell us when a visit from one of our ads leads to a booking or a phone call. If you arrive from an ad, we also keep the ad's click reference in a cookie for 90 days and include it with any booking you send. When you book with us, online or by phone, your mobile number and email address are scrambled (hashed) before they are sent to Google, either in your browser or on our server, so Google never receives them in readable form. Google uses them only to match the booking to an ad click. You can manage personalised ads at adssettings.google.com.
You can block or delete cookies in your browser settings, or install the Google Analytics opt-out browser add-on. Google explains how it uses information from sites that use its services at policies.google.com.
To load quickly, the site uses third-party content delivery networks for styles, icons, fonts and some images. When your browser loads those files, the provider may log standard technical details such as your IP address, browser type and the page that requested the file. You can block or clear cookies in your browser settings, although parts of the forms may not work as smoothly.
8. Accessing and correcting your details
You can ask to see the personal information we hold about you, or ask us to correct it if it is wrong or out of date. Email us at book@silversydneytaxii.com or call 02 7265 1227.
We may need to confirm your identity before we release or change anything. We will respond within a reasonable time, usually within 30 days. If we can't give you access, we will explain why.
9. Privacy complaints
If you think we have mishandled your personal information, please contact us first using the details below and tell us what happened. We will look into it and let you know the outcome.
If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
10. Changes to this policy
We may update this policy from time to time, for example if we change how our booking system works. The latest version will always be on this page, with the date it was last updated at the top. Our terms and conditions explain the rules that apply to bookings.
